Paperless Archiving

Paperless Archiving (OLD Records) is the conversion of old documents to digital images.  You know, those documents that are stored in endless file cabinets and stacked in storage rooms.  Documents that you are required by law to keep but seldom ever use.

Converting your old records to digital images is a matter of choice.

  • Am I willing to pay for time lost in looking for old or misplaced files?
  • Would I rather continue to pay more in hidden labor costs dealing with old records or invest in a program to digitally archive my records?
(Use this form to calculate your savings by converting your records to digital images)
  • Will my current storage practices satisfy state and federal regulations regarding privacy?
  • Our Scanning Service Bureau makes your choice an easy one.
Once the decision is made to convert your documents your choices are: Selecting the right company is also important.  How much it will cost is one factor to consider, quality is another.

When evaluating a company ask them about their quality process.  Typically the standard answer is "We visually verify 10% of the scanned records for accuracy." That means that 90% of your records are NOT checked. AND, 100% are NOT CHECKED against the ORIGINAL.

Going paperless requires some planning but the costs you’ll save in time, paper, supplies, and the impact on the environment makes it worthwhile.

Some of the benefits include:

More efficient. Clicking on a computer file will save you the time you would otherwise spend searching through files while a client is kept waiting.

More economical. Eliminate file cabinets and use the space for revenue producing activities.  Save money on printers, paper, ink or toner.

More accessible information. Rather than take heavy boxes of paper records with you to meetings or court cases, you can pull up the information you need from your computer, share information, and communicate via email or web conferencing.

More secure information. Keep confidential material securely locked away in encrypted electronic files that only you can access. Copies can be kept off-site as part of your disaster recovery business continuity plan.  Contact ARCHIVE-CD about making your office paperless.
